Accounts Assistant

Key Job Requirements for Accounts Assistant:

  • To ensure accurate and complete management of accounting ledgers including dealing with related queries and monthly reconciliations leading month end processes. 
  • To support Holdings FM to manage the group schemes and processes including any administrative tasks required for the successful operation of the dept. 
  • To ensure that accounting and administrative records remain confidential, are accurately maintained and updated daily. 
  • To take part in and help to maintain Head Office systems of internal control. 
  • Provide support to Holdings FM in other Ad-hoc duties when and if required 
  • To maintain a control system for sums owing and owed. 

INTERACTION AND REPORTING 

Directly Responsible To: 

Holdings Finance Manager and Head Office Accountant 

Responsible For: 

No staff responsibility. 

Relationships With: 

Head Office Management, other Administrative Staff and Auditors. 

KEY TASKS AND PERFORMANCE OBJECTIVES 

Control of Costs: 

Ensure that all monies received and payments made are properly controlled, accounted for and allocated to the correct customer or supplier accounts. 

Ensure that no duplicate payments are made nor purchase invoices double posted. 

Ensure that VAT is correctly claimed and analysed in accordance with instructions received from the Holdings FM 

Ensure that all payments are duly authorised and paid in accordance with Head Office procedures and policies. 

AUTHORITY LEVEL 

Capital & Other Expenditure: 

Limited to creation of payments only but responsible for collation of supporting documentation. 

Personnel: 

No personnel responsibility. 

Operational: 

Act in accordance with instructions received from and in support of the Holdings FM. 

Organise own work within administrative function to achieve the highest level of accuracy. 

Maintain excellent customer and supplier relationships. 

MAIN WORK ACTIVITIES 

Personnel: 

Maintain standards of appearance and courtesy as expected by visitors and fellow staff members. 

Administration: 

Ensure that all accounting and clerical tasks within designated responsibility are carried out as required by Head Office policies. In particular: 
 
i.        Receive and process paperwork from all departments and post to ledgers as appropriate. 
ii.       Check for numerical and accounts coding accuracy to ensure that the quality of financial information is preserved. 
iii.      Retrieve information and copy records as requested by the Holdings FM and other Senior Managers. 
iv.      Post payments to all ledgers in accordance with reconciled supplier statements and prepare cheques/ payment advices and BACS transfers. 
v.       Receive and reconcile all supplier statements requesting copies of invoices not received.  Liaise with other Head Office personnel to obtain authority to pass invoices for posting. 
vii.     Deal with purchase ledger queries, problems and un-reconciled sums, reporting anomalies and concerns to the Holdings FM 
viii.    Correctly analyse VAT on all purchase and expenses invoicing, ensuring that documentation received complies with VAT and taxation requirements. 

Communication & Interaction: 

Maintain good liaison with Head Office Management and other Administrative Staff. 

Ensure good customer contact. 

Notify Holdings FM of any unusual or concerning situations. 

Communicate courteously and efficiently with customers & Suppliers on the telephone and in person and respond to their needs in a professional manner 

OTHER DUTIES: 

Any other duties as and when required by senior company managers that are reasonably within the capabilities of the person and are aimed towards the company’s objectives and goals. 

QUALIFICATIONS, TRAINING AND EXPERIENCE 

Numerate and literate at the clerical level required. 

Understand accounting information such as invoices, credit notes, payment receipts and payment advice notes. 

Understand basic double entry and the principles of ledger reconciliation work. 

Knowledge and understanding of VAT and associated documentation. 

To have received training and to be adept at inputting information onto a computer. 

Capable of demonstrating a professional and courteous relationship with managers, staff, suppliers and customers alike. 

Skills you will require for the Accounts Assistant role:

Highly motivated

Attention to detail and accuracy

Very competent IT skills including excel and word

Highly organised with ability to time manage

Your Required Experience as Accounts Assistant:

Experience of working within a similar role is essential

HNC/HND in Accounting would be beneficial
