Finance Assistant/ Accounts Assistant HYBRID

Key Job Requirements for Finance Assistant:
MAIN WORK ACTIVITIES
Personnel:
Maintain standards of appearance and courtesy as expected by visitors and fellow staff members.
Administration:
Ensure that all accounting and clerical tasks within designated responsibility are carried out as required by Head Office policies. In particular:
Receive and process paperwork from all departments and post to ledgers as appropriate.
Check for numerical and accounts coding accuracy to ensure that the quality of financial information is preserved.
Retrieve information and copy records as requested by the Holdings FM and other Senior Managers.
Post payments to all ledgers in accordance with reconciled supplier statements and prepare cheques/ payment advices and BACS transfers.
Receive and reconcile all supplier statements requesting copies of invoices not received. Liaise with other Head Office personnel to obtain authority to pass invoices for posting.
Deal with purchase ledger queries, problems and un-reconciled sums, reporting anomalies and concerns to the Holdings FM
Correctly analyse VAT on all purchase and expenses invoicing, ensuring that documentation received complies with VAT and taxation requirements.
Communication & Interaction:
Maintain good liaison with Head Office Management and other Administrative Staff.
Ensure good customer contact.
Notify Holdings FM of any unusual or concerning situations.
Communicate courteously and efficiently with customers & suppliers on the telephone and in person and respond to their needs in a professional manner
OTHER DUTIES:
Any other duties as and when required, that are reasonably within the capabilities of the person and are aimed towards the company’s objectives and goals.
QUALIFICATIONS, TRAINING AND EXPERIENCE
Minimum of 2 years Experience of working within a similar role is essential
HNC/HND/University graduate in Accounting would be beneficial
Numerate and literate with attention to detail & accuracy, at the clerical level required.
Understand accounting information such as invoices, credit notes, payment receipts and payment advice notes.
Understand basic double entry and the principles of ledger reconciliation work.
Knowledge and understanding of VAT and associated documentation.
Very competent IT skills including excel and word
Capable of demonstrating a professional and courteous relationship with managers, staff, suppliers and customers alike.
Highly motivated with the ability to independently manage their own time and organise their work.
